In conjunction with other People Team members in both the UK and US, the HR Assistant provides an employee focussed and professional people service which supports and enables Gyroscope to achieve its operational and strategic goals and priorities.

The HR Co-ordinator will provide comprehensive administrative support on all HR practices, processes and policies covering Compensation & Benefits, Employee Relations, Resourcing and Learning and Development.  The HR Assistant will also maintain the accuracy of the HR Information System (BambooHR) to ensure high quality data is held, which can be analysed/reported on.

What we will expect you to do:

Compensation and Benefits

Administer the provision of employee benefits through applications and changes for Private Medical Health Insurance, Income Protection, Life Assurance, Childcare Vouchers, Cycle to Work Scheme. Ensure all details are accurately recorded on the HR Information System and payroll spreadsheet and that data matches the benefit providers online portal. This will also be the case for the US benefits.

Provide support for the administration of the performance appraisal and annual pay review process, ensuring performance ratings and salary increases are updated on the HR Information System.

Respond to general queries relating to pay and benefits.

Employee Relations

Provide general advice and guidance in respect of HR policies, practices and procedures.

Produce the necessary template letters for; contractual changes, sickness, disciplinaries, grievances, maternity/paternity/adoption/shared parental leave, flexible working requests and probationary periods.

Coordinate the leaver process including checking notice periods, calculating holiday entitlement and issuing letters.

As required, take Minutes of Meetings for any employee relations cases.

Ensure GDPR compliance with HR records both electronic and paper relating to all employees including; employee changes, contractual changes and starter/leaver processing

Arrange monthly company-wide on-boarding presentations and check presentations are updated on a quarterly basis.

 Learning & Development

Organising logistics for courses, including booking/setting up rooms and equipment, sending out invites and compiling attendance lists.

Maintaining accurate training records.

Preparing and printing course materials.

Providing metrics and analysis on internal training courses.

Responding to general queries.

Liaise with external providers and venues.


As and when required, provide support to the Director of Talent Acquisition by;

Placing adverts on all internal and external websites including social media sites.

Arranging interviews, (face to face and Zoom) booking meeting rooms and arranging any necessary equipment.

Ensuring Right to Work checks are completed and the recruitment spreadsheet is up to date at all times.

Preparing documentation for new employees including requesting references, offer letters and contracts of employment/At Will contracts

 HR Information System

Maintain the infrastructure of the HR Information System, suggesting any areas for improvement.

Ensure day to day accuracy of the HR Information System by updating employment records.

Provide support and guidance on the HR Information System by ensuring employees have access to and provide training on how to use the System.

Respond to requests from employees and update the HR Information System and become the ‘super user’ of the system


Ensure the on-boarding of all new employees runs smoothly to give a good ‘employee experience’.

Produce HR metrics and reports as required.

Provide information to employees, functional heads, as required.

Review, update and maintain the HR template letters to ensure they are aligned to best practice and continue to meet the needs of the company.

Remain up to date with employment law developments and where appropriate, make recommendations on how policies, procedures and company documentation can be amended.

Escalate non-routine or complex matters to the Director of People & Organisational Development.

Ensure activities meet with and integrate with organisational requirement for quality management, health and safety, legal requirement and general duty of care.

Continuously develop professional knowledge and expertise, attending relevant meetings and conferences to ensure up to date knowledge is relevant to the role.

Undertake any other relevant duties and projects in line with the responsibilities of the post.
