We have a new opportunity for an Office Manager & Executive Assistant to join our fast-paced & passionate team. We are looking for an experienced, self-driven and proactive professional to provide comprehensive executive assistant support to the CEO, members of senior management and the Board, as well as managing the office and administrative functions within the Company, working with multiple external parties.
 
Key Responsibilities:
• Proactively manage diaries and organise complex meetings, including Board meetings
• Co-ordinate all travel and accommodation, managing expenses and corporate credit cards
• Organise and maintain a schedule of regular company meetings and events and co-ordinate conference attendance
• Act as Secretary for the senior management team meetings, prepare agenda, attend meetings, write minutes and track actions
• Assist with drafting reports, documents and PowerPoint presentations • Work closely with the SBC and other suppliers to ensure smooth operation of the office working environment and coordination of other administrative matters
• Point of contact for IT and the company mobiles, dealing with general IT related issues
• Deal with calls, post and courier requirements
• Order phones, computers, stationery, coffee capsules and other supplies
• Raise purchase orders and assist with processing of invoices and payments 
• Meet and greet visitors, providing hospitality as needed
• Implement and maintain office and administrative procedures, including various Excel and database trackers and ensure compliance with Data Protection requirements • Organise suitable catering for meetings and company events
• Provide general HR, training and recruitment administration support
• Act as the office-based Health &Safety Officer
• Assist in communications activities, press, and investor relations 
• Maintain updates to the Company website and utilise Social Media to publicise Company updates 
• Provide support to KaNDy Therapeutics  
 
Skills and Experience Required:

Essential:
• Experience in a similar role, supporting senior executives and interacting at board level, ideally in a scientific/biotech company
• Excellent administrative & general IT skills and an expert user of MS Office  • Good level of general education, including English and Maths at GCSE level or equivalent
• Positive attitude with a solutions-oriented mind-set and excellent problem-solving skills
• Self-driven, able to work independently, with strong use of initiative
• Able to build strong relationships at all levels, work well within a team and handle people with tact and sensitivity
• Excellent verbal and written communication skills, with good attention to detail
• Highly organised, with strong prioritisation skills, able to deliver to deadlines and work under pressure  
• High level of integrity and ability to maintain confidentiality
 
Desirable:
• Website and Social Media authoring/ maintenance skills 
• Experience of Sage and business online banking 
• Ability to co-ordinate projects and undertake internet-based research
• Familiarity of scientific language, through education or work experience  
 
This is primarily an office-based role, working Monday to Friday, however there is some room for flexibility in specific working hours.
